Executive Assistant Head of IT Infrastructure Europe

We have a new exciting job opening either in Neuilly or Lyon.

We are looking for Executive Assistant Head of IT Infrastructure Europe to provide the day to day administrative support of the Head of IT Infrastructure Europe as well as is a key player in the communication and change management for the adoption of IT tools. The position will work closely with peers in other regions to establish and adopt best practices in line with XPO IT and business requirements. The position may therefore require ad-hoc travel within and outside Europe.    

What you’ll do on a typical day :

Main accountabilities to include but not be limited to :

  • Synchronize meeting with the head of infrastructure to set priorities and alignment
  • Manage mailbox ensuring key messages are not missed and are answered
  • Manage the agenda, including scheduling, conflict management, rescheduling and prioritization
  • Maintain and track a list of key focus items and publish organization charts
  • Work with internal communication to create branding material for the IT Infrastructure
  • Build training programs for the users to support the efficiency of the tools we are deploying
  • Coordinate trainers, translation agencies, and deliver trainings on very specific IT topics
  • Ensure the logistic, hotels and venues are scheduled for business travels for the Head of Infrastructure and the direct reports of the Head of Infrastructure
  • Organize infrastructure management meetings including venues and logistics
  • Contact colleagues in other support functions (e.g. IT, legal, finance, HR), External vendors, service providers (e.g. ServiceNow) and Internal consumers of the services provided by this role
  • Track the trainings achieved by the IT infrastructure population

What you need to succeed at XPO :

  • Minimum 1 year in similar roles
  • Fluent in English and French
  • Familiar with the Information Technology best practices
  • Experience with the Office 365 tools (Outlook, PowerPoint, Excel, Word, Visio, SharePoint, Forms, Skype, Teams, …)
  • Experience with Web Technologies including JavaScript, HTML, XML and Web Services or tools to publish
  • Develop insightful, value-added actionable analyses with detailed explanations regarding drivers of those results and impactful communication material using the latest technologies
  • Excellent presentation and negotiation skills to deal effectively with individuals and groups within and outside the organisation
  • Utilise variety of interpersonal styles and communication methods
  • Excellent skills to prioritises regular workload, special tasks and concurrent projects
  • Experience performing continual improvement of processes and services
  • Strong Knowledge in common IT practices (ITIL)
