As the Manager, Office Services, you will be the face of the organization as you welcome and direct visitors. Your attention to the small details and strong work ethic will ensure the office continues to run smoothly. You will also ensure the successful execution of Human Resources (HR) policies and strategic initiatives as appropriate and in partnership with HR for the Greenwich office. What you’ll do on a typical day:
- Foster a welcoming environment and provide exemplary customer service for visitors, employees, and c-suite executives
- Actively engage new employees and facilitate an understanding of the culture, ethics, and expectations
- Maintain cleanliness of all pantries, conference rooms, copy centers and reception area
- Order and distribute supplies to keep communal areas well-stocked
- Manage security system for office; monitor all visitors and assign appropriate badge access, monitor security camera footage, create/deactivate/manage employee ID badge access
- Coordinate with vendors on the evaluation, contracting and set up of new and existing services, supplies, equipment, or technology
- Coordinate and manage maintenance schedules to ensure the interior and exterior of the office are maintained at professional levels (including landscaping, interior plants, window cleaning, carpet cleaning, etc.)
- Manage invoice setup, processing, and payments for all costs related to office and c-suite
- Support onboarding of new employees; distribute ID badges, set up workspace and provide all pertinent office and office park procedural information
- Partner with our facilities team to schedule and manage ongoing maintenance and repairs of generator, HVAC system, and appliances
- Respond and provide support to all emergency calls relating to office facilities and security
- Assist employees with services, including setup, shipping, receiving and distribution of packages, forwarding mail to other offices and tracking mail/packages when requested
- Organize catering, schedule conference rooms, and assist with planning activities and events as needed
- Develop, coordinate, and distribute officewide communications
- Maintain the highest levels of confidentiality, professionalism, attention to deal and customer service
- Develop, manage, and support strategies to reward and recognize employees and drive engagement across all corporate offices
- Provide support for HR initiatives as appropriate working in partnership with HR business partners
What you need to succeed at XPO:
At a minimum, you’ll need:
- Bachelor's degree or equivalent related work or military experience
- 5 years’ experience working closely with executive leadership
- Ability to carry over 40 pounds
- Ability to work a flexible schedule, including planned and unplanned overtime, which may include weekends
- Excellent verbal and written communication skills; ability to present clean, organized and thorough information and data appropriate for intended audience
- Strong attention to detail, follow-up skills and the ability to identify and resolve problems
It’d be great if you also have:
- Bachelor’s degree in Human Resources, Business, Communications or Psychology
- Experience with HRIS systems such as SuccessFactors
- HR experience
This job requires the ability to:
- Lift, push or pull 40 pounds of weight
