As the Executive Assistant Project Coordinator, you will provide confidential support for a senior-level executive. You will also perform tasks requiring considerable latitude for judgment, discretion, confidentiality and initiative in a fast-paced and dynamic environment. What you’ll do on a typical day:

  • Handle a wide variety of administrative support duties, including managing complex calendars, arranging travel, preparing meeting agendas and materials, etc.
  • Assist the Senior Vice President in the timely management of all written, telephone and email communications, including responding on behalf of the executive
  • Compose and prepare professional correspondence, presentations and spreadsheets
  • Screen and direct incoming calls with considerable use of tact, diplomacy and courtesy; provide superior customer service to employees and visitors to the department
  • Create and prepare various documents, including expense reports, organizational charts, distribution lists, files and general correspondence
  • Coordinate security team logistics by scheduling meetings/events, booking conference rooms, etc.
  • Manage the administrative tasks of on-site and off-site meetings and events by preparing meeting notices, invitations and agendas, determining appropriate location, compiling meeting minutes and preparing them for publication within established time frames, reserving and providing equipment, and preparing collateral materials
  • Manage Information Security department invoices and track recurring purchases/card transactions

What you need to succeed at XPO:

At a minimum, you’ll need:

  • High school diploma or equivalent
  • 1 year of business experience, preferably in a distribution, logistics or supply chain environment
  • Strong proficiency in Microsoft Office with the ability to use charts, graphs and animation
  • Demonstrated ability to clearly document discussions without a deep understanding of the subject matter
  • Proven writing/editing skills; able to use accurate grammar, spelling and punctuation to type from draft copy and in the review and editing of reports and correspondence

It’d be great if you also have:

  • College coursework or an equivalent combination of education and work experience
  • 5 years of experience as a professional administrative assistant, including 3 years of providing support at the senior executive level
  • Intermediate to advanced PowerPoint and Excel skills
  • Ability to successfully prioritize constantly-evolving needs and provide accurate follow-up on issues
  • Strong drive to follow through with the ability to identify and resolve problems
  • Demonstrated ability to handle multiple projects and time demands with a high level of urgency, personal integrity, energy and stamina
  • Ability to take initiative, be proactive and self-directed
  • Excellent verbal and written communications skills
