As the Manager, Office Operations, you’ll manage the building and support all Corporate shared offices. You’ll oversee and interface with the facility staff, Design/Construction team members, Engineering/Maintenance partners, property managers, landlords and service contract providers as appropriate. We’ll count on your skills and experience to provide daily facilities management support and execution for all building maintenance activities. What you’ll do on a typical day:

  • Foster a welcoming environment and provide exemplary customer service for visitors, employees, and c-suite executives
  • Coordinate and manage preventative maintenance schedules to ensure the office is maintained at professional levels
  • Ensure the daily operations of the facilities are implemented and carried out in a manner consistent with XPO policies and directives, including custodial, life-safety, engineering, site services and general maintenance
  • Manage all contracts to ensure they are reviewed on a regular basis and are bid out as required; verify that invoices match contract pricing, as well as assist with global real estate portfolios, including day to day operations, coordination of planning design and construction activities, fire/life safety compliance and correction of note deficiencies
  • Assist in the development of capital budgets for the property, including contributions towards a five-year plan of maintenance, facility improvement and cost-reduction initiatives
  • Assist vendors and landlords with onboarding as XPO vendors and with payment inquiries and reconciliations of accounts, as well as Assist with maintaining the Real Estate database, Qube, assisting with monthly charges for rent payments

What you need to succeed at XPO:

At a minimum, you’ll need:

  • Bachelor’s degree or equivalent related work or military experience
  • 5 years of facilities and office management or commercial property management experience working with multiple sites
  • Strong fluency user of Windows applications and Microsoft Office programs such as Project, Word, Excel, and PowerPoint

It’d be great if you also have:

  • Bachelor's degree in Management, Business, or a related field, or 10 years of related experience or equivalent combination of education and experience
  • 1 year of logistics or transportation experience
  • Outstanding group presentation skills: Excellent negotiation skills to deal effectively with individuals and groups within and outside the organization
